We partnered with Pax, a hospitality group and consultancy, as their embedded operational technology partner, building a centralised dashboard that became the single source of truth for how their business runs. Pax had the expertise, the clients, and the reputation. What they needed was a system that could hold everything they knew, everything they did, and everything they needed to communicate. In one place, accessible to everyone who needed it, without the noise of everything they didn't.


Our approach
We started where we always start: inside the business. Deep discovery sessions with the Pax team to surface what lived in heads, what was buried in inboxes, and what was falling through the gaps between tools, people, and processes. From there we mapped their full operational landscape and built a prioritised roadmap around the gaps that were costing them the most in time, in clarity, and in client experience. The dashboard was designed around how Pax actually works, not how a generic system assumes they should. Automations and workflows were built to remove the manual handling that was slowing the team down. And from day one, adoption was treated as part of the build, not a problem to solve after it.
The challenge
The core challenge was the weight of institutional knowledge sitting entirely in people's heads. Processes that worked because the right person was in the room, communications that relied on memory rather than systems, and no single place where the full picture of the business could be seen at once. The second challenge was building something powerful enough to transform how they operated, while remaining intuitive enough that a hospitality team running at pace would actually use it.

The solution
We built Pax a centralised operational dashboard. One environment where internal communications, workflows, procedures, performance tracking, and client-facing processes all live and connect. Automations were developed to handle the repeatable work that was consuming the team's time and attention, freeing them to focus on the high-value work that actually required their expertise. Workflows were documented, systematised, and made accessible, getting the knowledge out of heads and into a structure the whole team could navigate confidently. This is an ongoing partnership. Monthly operational management ensures the system evolves as the business does, gaps are identified before they become problems, and the team always has someone to call when clarity is needed.
